Enter Holiday Dates Before You Create a Course Record
Enter Holiday Dates BEFORE you add or clone course records for the term so the system can accurately calculate the course End Date and Room Use Records. Note: the system WILL NOT recalculate End Dates and reset Room Use records if you enter Holiday Dates after you set up the course because it would overwrite any custom Room Use records you have set up for the course.
Scope Your Instructor List (Faculty Manager Users)
You have two options to shorten the Instructor list on the Course Instructor tab:
- Enable Subject Scoping. Only faculty members who have the same Subject code as the course will appear in the Instructor list.
- Only active faculty members appear in the Instructor list so un-check the Active box on inactive faculty members' records.
Use Course Reminder Notes
Enable the Course Reminder Notes feature to remind users when tasks should be performed, e.g. when the catering should be ordered, when rosters should be sent to instructors, etc.
Updating CEUS, Hours, and/or Credits for All Registrants
You may occasionally find that the wrong number of CEUS, Hours, and/or Credits was entered in the course record. But you don't find out until after you've registered people in the course. In these cases, you can change the amounts on the Course record and updated all associated Registration records.
Deactivate Courses After the Enrollment Period Ends
Deactivate courses after the enrollment period is over to remove them from the regular registration routines thus making it easier for registrars to know which courses are available for enrollment.
Course Student List - Entering Student Grades
Enter grades for all students enrolled in a course from the Course Student List (Student List button on Course record). This is much faster and easier than opening each registration record and entering a grade. Note: you may also edit the CEUS, Hours, Credits, Rgcode, and Rgstatus fields. And if you need to view the student's Name record, just double-click the Name field to open the Names screen.
Lock Courses at the End of the Fiscal Year
Lock courses at the end of the fiscal year. This keeps anyone from accidentally making changes to registrations or payments after the year end accounting reports have been completed.
